AI Consulting and Custom AI Development

AI Consulting in Malaysia That Ends in a Working System

We find where AI actually pays back in your operation, then build it and connect it to the systems you already run.

A first workflow typically goes live in 2-6 weeks. You get the automation, the integration, the documentation, and a team that can operate it after we hand over.

Common Problems Custom AI Must Fix

Manual approvals and data entry slow down operations.

Business rules live in spreadsheets and email threads.

Teams switch between ERP, CRM, WhatsApp, and shared drives.

AI tools are isolated and cannot access the right data.

Custom AI Outcomes You Can Measure

We design AI automation around your data, your tools, and your compliance needs. The result is a system your team can trust and keep scaling.

6-10 workflows automated across sales, operations, finance, and support.
AI connected to ERP, CRM, databases, and document stores.
Clear ownership, access control, and audit logs.
Private or local LLM options for sensitive data.
Training, handover, and support for internal teams.

Custom AI Workflow Examples for Malaysian SMEs

Invoice and PO Reconciliation

Before: Accounts teams match documents manually and chase missing items.
After: AI flags mismatches, pre-fills adjustments, and routes approvals.
Impact: Faster close and fewer compliance errors.

Sales Follow-Up and Quote Prep

Before: Reps copy data from CRM and email into proposals.
After: AI assembles draft quotes using CRM data and pricing rules.
Impact: Quicker response times and higher win rates.

Service Ticket Triage

Before: Support teams read every ticket before assigning.
After: AI routes tickets, suggests replies, and tags urgency.
Impact: Shorter resolution time and better SLA coverage.

The Best Automation Platforms, Compared Honestly

There is no single best automation platform. There is a best fit for a given workflow, a given team, and a given tolerance for maintenance. The four platforms below cover most of what a business will shortlist, plus the custom-built option they are being compared against.

The dimension that decides most of these arguments is not features. It is who is on the hook when the workflow breaks, and whether the pricing model still makes sense at the volume you will be running in a year.

Diagram of custom AI consulting in Malaysia: audit workflows and data, design logic and guardrails, build and connect ERP CRM WhatsApp or databases, then launch with training and handover. Systems you already run stay in place; credentials and accounts are in your name.
Custom-built means audit → design → build → launch into the systems you already run — not a deck, not a per-task meter that climbs with volume.
OptionHow it is pricedWho maintains it after launchWhere it usually breaks
n8nFree to self-host under a source-available licence; cloud plans bill by workflow execution, so cost tracks volume rather than seats. You, once you self-host it. Someone has to own the server, the upgrades, and the credential rotations.Version upgrades, expired credentials, and edits made straight into the live editor with no version history.
ZapierPer task, so every step that runs is metered, on tiers that also gate the premium connectors.Whoever built the Zap, usually an ops or admin person with no code review behind them.Silent failures after a connected app changes its trigger, and task cost climbing quietly as volume grows.
MakePer operation, counted per module run, so a branching scenario consumes more than the diagram suggests.Your team. Scenarios stay readable for a while, then get hard to hand to the next person.Error handling has to be built deliberately. Without it, a failed run simply stops halfway through.
Microsoft Power AutomatePer user or per process, with some capability already bundled into Microsoft 365; premium connectors and Dataverse are charged on top.Your Microsoft 365 admin, through the Power Platform admin centre.Flows owned by a personal account stop when that person leaves, and the on-premises data gateway needs its own upkeep.
Custom-builtA one-off build cost plus hosting and model usage. There is no per-task meter to grow into. The builder until handover, then your team, using the documentation and admin access. Not on volume. It breaks when nobody wrote it down and the person who understood it left.

Data Residency, PDPA, and Reaching Your On-Prem Systems

Two questions eliminate more shortlisted tools than any feature comparison. Where does the data physically sit while it is being processed, and can the tool reach the system that actually holds your records?

If your ERP or SQL server sits on a machine in your office with no public endpoint, most cloud automation platforms are out before the trial starts. And if the documents being processed contain personal data, PDPA obligations follow the data wherever the platform sends it, which makes the hosting region a business decision rather than a technical footnote. Where nothing may leave your infrastructure at all, local LLM deployment is the route.

OptionWhere your data sitsReaches an on-prem ERP or SQL serverGenuinely the right answer when
n8n hostingWherever you host it, including a local VPS or your own rack.Yes, if hosted inside the network. Direct database nodes are supported. You have an engineer who genuinely wants to own it and the data must not leave your infrastructure.
Zapier hostingZapier cloud. Your records transit a third-party SaaS platform.No. It needs a public API, so an on-prem ERP has to be exposed or fronted by middleware. Two cloud apps, a straight-line rule, modest volume, and nothing sensitive in the payload.
Make hostingMake cloud. Confirm which region your account is provisioned in before sending anything sensitive. No, unless the system is already exposed over an API or a reachable endpoint. You need real data transformation between cloud apps and more control than Zapier, without running a server.
Power Automate hostingYour Microsoft 365 tenant region.Yes, through the on-premises data gateway. This is its strongest card for SQL Server. The work already lives in SharePoint, Outlook, Teams, and SQL Server, and the licensing is already paid for.
Custom-built hostingYour choice, up to a local model on your own hardware with no external API calls.Yes, with direct database and file-system access.Inputs are unstructured, the logic needs judgement, or per-task pricing has stopped making sense at your volume.

When You Should Just Buy a Subscription and Not Hire Anyone

Plenty of the workflows people ask us to quote do not need us. If the following are all true, buy the subscription, spend an afternoon on it, and keep your budget.

Both systems are cloud SaaS with public APIs, and neither holds sensitive personal data.
The rule is a straight line. When this happens, do that. No branching on what a document says.
Volume is tens or low hundreds of runs a month, so per-task pricing stays trivial.
Someone on your team enjoys this sort of thing and will notice within a day when it stops.
A failed run costs an apology, not a payment, a shipment, or a compliance breach.
You need it working this week and can live with rebuilding it properly later.

What a Fixed-Scope Sprint Does Not Cover

A sprint is deliberately narrow, and the boundary is written into the quote. Buyers at this end of the market are screening for competence, so here is the exclusion list up front rather than in a change request.

Rewriting or replacing the underlying system. If the ERP is the real problem, automation only hides it for a while.
Unlimited workflows. A sprint covers the workflow named in the scope document.
Cleanup of historical records. It can be quoted separately, but it does not sit inside the sprint.
Licences and running costs. Platform subscriptions, model usage, and connector fees stay in your name and on your bill.
Ongoing operations. After the 30-day tuning window, support continues under a separate agreement.
Guaranteed accuracy on documents nobody has seen yet. Accuracy is agreed against your own sample set during the sprint.
Changes that alter the agreed workflow mid-build. They get quoted, not absorbed.

Custom AI Solutions FAQ

What are custom AI solutions?

Custom AI solutions connect AI agents to your workflows, documents, and business systems. The goal is to reduce repetitive work such as data entry, approvals, reporting, and customer follow-up.

How long does a custom AI project take?

Most initial workflows can be delivered in 2-6 weeks depending on scope and integrations. Larger programs are delivered in phases.

Can AI integrate with our ERP, CRM, and WhatsApp?

Yes. We connect AI to ERPs, CRMs, databases, WhatsApp Business, document stores, and internal tools via APIs or secure connectors.

Do you offer private or on-prem AI?

Yes. We support local LLM or private cloud deployments with governance and audit controls.

What is the first step for AI automation?

We start with a workflow audit, then identify the highest-value process, required data sources, access rules, and measurable outcome before building.

How much does AI consulting cost in Malaysia?

Our AI work is priced as fixed-scope sprints, typically RM 8,000-15,000 for a 2-3 week implementation, agreed in writing before we start. The initial workflow audit and scoping call are free, so you see both the scope and the number before committing to anything. Larger programmes are delivered as a sequence of sprints, each with its own scope and price.

What does an AI consultant actually do for a Malaysian SME?

Four things, in order. Audit your workflows, data sources, and compliance needs. Design the automation logic, guardrails, and integrations. Build it and connect it securely to your ERP, CRM, WhatsApp, or document systems. Then train your users, monitor the results, and tune it after launch. If the honest answer at the audit stage is that a process should be fixed before any AI touches it, we will say so.

Should we hire an AI consultant or just buy an off-the-shelf AI tool?

Buy the tool when your process is standard and the tool can already see the data it needs. Custom work earns its cost when the AI has to read your own documents, follow your business rules, and write back into systems you already run. We will tell you which situation you are in during the scoping call, before you have paid for anything.

Can you connect AI to a system that has no API?

Usually yes, through a different route: a read-only database view, scheduled exports to CSV or Excel, or a monitored file drop are all workable. We identify the options during the audit and tell you which ones are reliable enough to build on. Where a system genuinely cannot be reached safely, we say so instead of building something fragile that breaks on the first vendor update.

How do you monitor an AI integration after it goes live?

Every integration ships with logging, alerting, and a dashboard that tracks throughput and failures, because the failure mode that actually hurts is the silent one: a connector that stops firing and nobody notices for a fortnight. You get the runbook and the data-flow diagram at handover, so your team can see what broke and where without calling us first.
